Terms
and conditions of booking
Please
read these conditions carefully.
These
conditions are a contract between ItalianSafaris and all those listed on the
booking form on whose behalf the party leader is acting. A contract will only
exist when we have received and confirmed receipt of a completed and signed
booking form, your deposit and proof of insurance and we have sent to you
confirmation of your booking and invoice.
Costs. Prices are per person and are based on two people sharing one double
room for the specified number of nights with half board accommodation and
return airport transfer from the airport specified on the booking form only
(unless by prior arrangement a different airport is agreed upon) Our holiday
prices do not include travel costs, i.e. flights, ferry crossings etc. other
than those stated ie.air port transfer. The costs of lunches, drinks, cable
car tickets, insurance, equipment hire etc. are not included. Bike hire can
be booked when you make your reservation - by request, but we undertake no
responsibility for the rented equipment so provided against loss or damage
in any way. You undertake to have adequate insurance to cover the rental of
third party equipment.
Booking and payment. To make your booking you must complete fully our booking
form. This must be signed by the party leader who will be responsible for
all payments in respect of arrangements booked on behalf of all persons named
on the booking form and confirming acceptance of these booking conditions.
Please forward your booking form to us together with a deposit of 25% of the
total holiday cost. Please note that the full balance, as indicated on our
confirmation of booking form, is due 4 weeks before your departure date. If
you are booking within 4 weeks of your departure date the full amount is due
when booking. Failure to pay by the due date could be considered as a cancellation
on your part and we reserve the right to impose cancellation charges as detailed
below.
Group
leader discount. On booking a group of 8 or more the nominated group leader
is entitled to a 50% discount on the basic holiday cost (excludes: guide fees).We
reserve the right to withdraw this offer without prior notice.
Age restrictions. Bookings can only be accepted for persons under 18 years
of age when accompanied by an adult who will be responsible for them. The
parent or legal guardian must countersign bookings in respect of persons 16-18
years of age.
Single person supplements. If you are traveling alone and wish to have a room
to yourself a supplement of £25 per day is payable. If you are willing
to share a room (with someone of the same sex) no supplement is payable.
Special requests. If you have a special request, please clearly note this
on your booking form, or if later make it in writing, but we cannot guarantee
any request that you ask us to provide unless we have confirmed it in writing.
If you request us to pass on requests to other service providers we cannot
guarantee such services will be provided even if we confirm that they have
been passed on. Please note that all services are provided subject to the
conditions of the relevant supplier, some of which may limit or exclude the
supplier's liability to you.
Resort prices. Any indicated local prices stated were as accurate as possible
at the time of publication. We cannot accept any responsibility for any variation
between that time and the date of your holiday.
Alterations by you to your booking. If you wish to make changes to your booking
in any way after confirmation has been issued you should advise us in writing
at the earliest opportunity. Wherever possible we will endeavour to assist
but cannot guarantee to accept any changes to your booking which will be subject
to the payment of any increased costs relevant to the change, and if less
than 4 weeks prior to departure an additional charge of £50 will be
levied together with any communications costs incurred. Any changes we do
accept will only apply if we have issued to you a new confirmation of booking
form. If changes are not possible and you cancel your booking cancellation
charges will apply. The accommodation booked is only available for use by
those persons included on the booking form unless otherwise agreed by us in
writing.
Cancellation charges. Notice of cancellation of your holiday by you or any
member of your party once it has been confirmed must be in writing to us by
the person identified as the party leader named on the booking form. If any
person cancels and you cannot fill that person’s place, you may have
to pay extra for your accommodation. For example, you may have to pay the
single room supplement. If you do cancel, you must still pay any amendment
charges that arose before the cancellation, and any deposits paid for any
pre-booked items or services. Charges for cancellation of your holiday may
be made as detailed below: Cancellation charges will be calculated from the
date we receive written notice of cancellation. If we cancel your holiday
you will receive a full refund of all monies paid to us.

Alterations and/or cancellations by us. We reserve the right to make alterations
to our web site and holiday details before and after bookings have been confirmed.
Should these be significant changes we will notify you as soon as possible
and you may accept to cancel your holiday and receive a full refund. For reasons
beyond our control or for reasons of “force majeure” it may be
necessary for us to cancel a confirmed holiday for which we must reserve the
right to do so. If we do so you will receive a full refund of all monies paid.
We can accept no legal liability and will pay no compensation.
Force Majeure. We regret we cannot accept liability or pay any compensation
where the performance or prompt performance of our contractual obligations
is prevented or affected by 'force majeure'. In these booking conditions,
'force majeure' means any event which we or the supplier of the service(s)
in question could not, even with all due care, foresee or avoid. Such events
may include war or threat of war, riots, civil strife, terrorist activity,
industrial dispute, natural or nuclear disaster, adverse weather conditions,
fire and all similar events outside our control.
Insurance. Mountain biking, skiing and mountain activities carries an element
of danger and all clients must be covered by an appropriate insurance policy,
please make sure the insurance includes full cover for all the activities
that you may participate in. It is an essential condition of booking your
holiday that you take out adequate holiday insurance to our reasonable satisfaction.
We will ask you to let us have evidence of the insurance at the time of booking.
We reserve the right to terminate your booking if you fail to obtain travel
insurance. However, it is the responsibility of you and all members of your
party to ensure the insurance cover purchased is suitable and adequate for
your particular requirements. We cannot be responsible for your costs if you
fail to do so.
Guiding. Mountain bike guiding and ski guiding is offered as a paid for service.
It is the clients’ responsibility to make their own judgemental as to
their individual abilities. All clients mountain bike, ski and walk /hike
at their own risk. ItalianSafaris cannot be held responsible for ANY accidents
or injury however caused. Should this service not be available at any time
we cannot be held responsible. Any client undertaking a self-guided holiday
does so entirely at their own risk and it is understood that that person has
undertaken a holiday fully aware of the necessary skills and physical fitness
needed to safely undertake that venture and that they are solely responsible
for any loss, accident or injury incurred in the undertaking of that activity
and are fully and adequately insured for rescue and medical costs should the
situation arise. In no way or form will we be held responsible for any eventuality
brought about by self guided groups or individuals.
Transfers. Transport between the agreed arrival airport and the same departure
airport are included in the holiday cost. We ItalianSafaris take no responsibility
for persons or possessions in transit. For any reason if we are unable to
meet you at the airport for any reason whatsoever every effort will be made
to provide alternative transport to your holiday destination. We take no responsibility
in any charges or costs incurred by this eventuality. We take no responsibility
for any accident or theft or damage to persons or there property whilst in
transit with us during the course of the holiday duration. We understand that
you have taken out adequate travel insurance to cover these eventualities
in full.
Weather Conditions. We cannot be responsible for any loss, delay, cost or
the enjoyment of your holiday due to weather conditions. No refunds can be
made if weather conditions are unfavourable.
Property. You will be liable for any damage or loss caused by you or any member
of your party to any property belonging to us or a third party (including
theft or damage to hired equipment). Full payment for any such damage or loss
must be made at the time to us or the third party concerned. If you fail to
do so, you must indemnify us against any claims (including legal costs) subsequently
made against us as a result of your actions. We cannot be held responsible
for any loss, damage or theft of your personal belongings.
Client Liability. When you book a holiday with us, you accept responsibility
for any damage or loss caused by you or any member of your party. Full payment
for any such damage or loss must be made at the time to us or the third party
concerned. If you fail to do so, you must indemnify us against any claims
(including legal costs) subsequently made against us as a result of your actions.
Your responsibility. We want all our clients to have an enjoyable holiday.
We expect all clients to have consideration for other people. Whilst we will
make every effort to assist wherever possible, if any guests’ behaviour
is considered anti-social or discourteous, you will appreciate that we have
no control over the behaviour of any guests.

Complaints. If you have any complaints you should make these known at the
earliest opportunity to a member of staff. If at the end of your holiday you
feel that your complaint has not been properly dealt with, you must first
notify us in writing within 30 days of your scheduled date of return and we
will do our best to resolve the problem.
Passport, visa and health requirements. We cannot accept any liability if
you are refused entry onto a flight or into any country due to failure on
your part to carry the correct passport, visa or other documents required
by any airline or authority. Requirements may change and you should check
the up-to-date position with the passport office. Before traveling you are
advised to check with your own doctor for your own medical requirements.
